Position Summary
We are seeking a proactive and highly skilled Executive Assistant II to provide high-level administrative support during a 12-week maternity leave. This role will support five senior leaders, including the Chief Medical Officer and several Vice Presidents. The ideal candidate will have experience juggling multiple priorities, managing complex calendars, coordinating high-stakes meetings, and handling confidential information with discretion.
This is a remote role; however, candidates located in the Salt Lake City area are preferred to assist with occasional in-person meetings. Candidates in other locations will still be considered based on experience and availability.
Key Responsibilities
Provide comprehensive administrative support to the Chief Medical Officer, VP of Healthcare Services, VP of Network Management & Operations, VP of Quality & Growth, and AVP of Provider Network
Manage multiple calendars, proactively scheduling and prioritizing meetings across time zones
Coordinate meeting logistics, prepare agendas, compile slide decks, and document notes and action items
Serve as the main point of contact for internal and external communications, screening calls and visitors as appropriate
Draft, proofread, and edit routine correspondence, reports, and presentations
Organize travel arrangements and process expense reports
Maintain confidential records and ensure HIPAA compliance in all communications and data handling
Support recurring and ad-hoc projects, including light research, data compilation, and presentation development
Act as liaison with internal departments, external stakeholders, and vendor partners
Provide backup coverage and general office support as needed
Qualifications
Associate’s degree or equivalent experience required
Minimum of 2 years of Executive Assistant experience, ideally supporting multiple leaders
Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); strong formatting and slide deck preparation skills
Typing speed of 65+ WPM
Demonstrated ability to manage shifting priorities in a fast-paced environment
Strong organizational skills and attention to detail
Excellent verbal and written communication skills
Professional, diplomatic demeanor with strong interpersonal abilities
Familiarity with managed care or healthcare/Medicaid programs preferred
Must be able to work Mountain Standard Time hours with flexibility for early or late meetings
