Pay Range: $24-$28/hr based on experience

Overview
A national managed care organization is seeking a detail-oriented, customer-focused Physical Therapy Scheduler to support its Care Management and Therapy Services teams. This fully remote position ensures that Medicaid members receive timely access to physical therapy and related rehabilitation services. The scheduler will coordinate therapy appointments, communicate with members and providers, verify service requests, and support overall continuity of care.

This role is ideal for candidates with experience in scheduling, home care coordination, disability support, or customer service who enjoy helping members navigate their care needs.

Key Responsibilities
• Schedule physical therapy appointments for members based on provider availability, authorization guidelines, and member preferences.
• Make outbound calls to members to confirm scheduled visits, verify contact information, and address basic questions.
• Manage inbound calls from members, providers, and therapy offices regarding appointment times, service status, and documentation needs.
• Communicate professionally with PT/OT/ST providers to confirm availability, request updates, and ensure timely service delivery.
• Review therapy referrals and verify required information such as diagnosis codes, service authorizations, and therapist credentials.
• Enter accurate scheduling details, notes, and updates into the organization’s electronic care management system.
• Track missed visits, cancellations, and rescheduling needs; follow up promptly with members and providers.
• Work closely with Care Coordinators, Case Managers, and Utilization Management to ensure members receive appropriate and timely therapy services.
• Identify any barriers to care and escalate concerns such as transportation challenges or access issues.
• Maintain confidentiality, compliance with HIPAA regulations, and high standards of customer service.

Qualifications
• Experience in scheduling, home care coordination, customer service, or administrative support.
• Strong communication skills with the ability to speak clearly and professionally with members, families, and providers.
• Comfortable using electronic systems for documentation, scheduling, and communication.
• Ability to learn new software and follow established processes accurately.
• Organized, dependable, and able to manage multiple scheduling tasks efficiently.
• Experience in disability services, home care, or working with vulnerable populations preferred.
• High school diploma or equivalent required; additional training in healthcare administration or scheduling is a plus.
