Guardian Home Care is seeking a highly organized and dependable Staffing Coordinator to support our growing home care operations in the Wichita area. This role is central to ensuring caregivers are properly scheduled, clients receive consistent coverage, and day-to-day operations run smoothly.
The Staffing Coordinator serves as the primary point of contact for caregiver scheduling, call-outs, shift coverage, and client coordination. This is a fast-paced role that requires strong communication skills, attention to detail, and the ability to problem-solve in real time.
This position is ideal for someone with direct experience in non-skilled home care who understands caregiver scheduling, client needs, and the urgency required to maintain consistent coverage.
• Create, manage, and adjust caregiver schedules to ensure all client shifts are fully staffed
• Respond to call-outs and last-minute scheduling changes by quickly identifying coverage solutions
• Communicate regularly with caregivers regarding availability, schedule updates, and assignments
• Coordinate new client starts, including matching caregivers based on skills, availability, and location
• Maintain accurate scheduling records in electronic systems (EVV or scheduling software)
• Partner with recruiting to ensure adequate caregiver pipeline for current and future needs
• Monitor overtime, travel time, and scheduling efficiencies
• Provide excellent customer service to both caregivers and clients
• Support office operations and assist with administrative tasks as needed
• Minimum 1–2 years of experience in scheduling or coordination within non-skilled home care (required)
• Experience working with caregivers such as PCAs, HHAs, or similar roles
• Strong communication skills (phone, text, and email)
• Highly organized with the ability to manage multiple priorities simultaneously
• Comfortable using scheduling systems, EVV platforms, or similar software
• Ability to problem-solve quickly in a fast-paced environment
• Reliable and dependable with a strong sense of urgency
• Experience with EVV systems such as HHAeXchange or similar platforms
• Prior experience in a high-volume home care or healthcare environment
• Understanding of caregiver compliance, availability tracking, and client matching
• Pay range: $17–$21/hour (based on experience)
