Schedule: Approximately 15–20 Hours per Week | Flexible Part-Time

About the Opportunity

We are seeking a dependable, personable, and highly organized Medical Office & Aesthetics Coordinator to support a boutique medical/aesthetics practice.

This is a unique part-time position combining patient service, medical office support, scheduling, and administrative responsibilities. An interest or background in aesthetics, skincare, medical offices, cosmetics, or high-end customer service would be a great fit.

Schedule

The practice's primary patient days are:

Tuesday & Thursday: approximately 10:30/11:00 AM – 5:00/6:00 PM

These are the primary working days, although flexibility is important. Occasionally, a Tuesday or Thursday may shift to another weekday due to physician travel, holidays, or scheduling needs. Changes are generally planned in advance.

Additional patient hours may occasionally be scheduled on Monday, Wednesday, or Friday based on demand.

The practice averages approximately 12–15 patient-facing hours per week, with some busier weeks approaching 20 hours. Some administrative responsibilities can be handled remotely on non-patient days.

Responsibilities

  • Greet, check in, and check out patients.

  • Answer calls and respond promptly to patient questions and messages.

  • Assist with scheduling and coordinate appointment availability with the physician.

  • Prepare and organize treatment rooms before patients arrive.

  • Maintain supplies and inventory.

  • Assist the physician during patient visits as needed.

  • Provide physician-approved patient instructions and take-home materials.

  • Maintain task lists and ensure assignments are followed through to completion.

  • Assist with forms, documents, and general practice administration.

  • Support social media, digital forms, and basic marketing initiatives when appropriate.

This is an active position in a multi-level office, so candidates should be comfortable moving throughout the practice and using stairs regularly.

The most important qualities are honesty, reliability, excellent communication, attention to detail, and follow-through.

The ideal candidate is proactive, comfortable working independently, good with patients, able to adapt to a flexible schedule, and willing to learn new systems and technology.

Experience in a medical office, aesthetics, med spa, skincare, cosmetics, hospitality, or high-end customer service is preferred but not required.

This could also be an excellent opportunity for an esthetician or aesthetics professional building their own business who wants steady part-time income while continuing to develop their career in the industry.

Compensation

$25/hr range

Candidates who can contribute in areas such as aesthetics, technology, social media, marketing, or expanded clinical support may be considered for higher compensation.
