Job Summary
The Intake File Clerk plays a vital role in supporting the operations of a not-for-profit welfare organization by managing and organizing client intake files. This position requires handling sensitive client information, ensuring accurate documentation, and supporting the intake process for new arrivals. The Intake File Clerk collaborates closely with case managers and program staff to maintain efficient documentation and compliance with organizational standards.
Principal Duties
- Create and maintain physical and digital client files, ensuring all documentation is accurately filed and easily accessible.
- Organize and process intake forms and documents, verifying the completeness of required paperwork.
- Digitize client files by scanning and uploading documents to the program’s database, ensuring records are current.
- Retrieve client files for caseworkers and staff, maintaining an organized system for easy access.
- Handle all client documents with strict confidentiality and ensure compliance with privacy standards.
- Assist clients with completing paperwork during the intake process and ensure intake packets are thorough.
- Collaborate with case managers and intake coordinators to properly file client information and case notes.
- Perform general clerical duties such as photocopying, faxing, and emailing to support intake operations.
- Carry out additional tasks as assigned by the supervisor.
Minimum Qualifications
- High school diploma or GED.
- One (1) year of experience in a clerical or administrative role.
- Bilingual in English and Spanish.
- Valid Texas Driver’s License.
Skills Requirements
- Strong organizational skills and attention to detail.
- Experience with both physical and digital filing systems.
- Proficiency with office equipment (e.g., scanners, copiers, computers) and data management software such as Microsoft Office or Google Workspace.
- Ability to work effectively with a diverse population, including individuals from various cultural and linguistic backgrounds.
