Position Overview
The Administrative Assistant to the Branch Manager plays a vital role in ensuring the smooth daily operation of the Cincinnati branch office. This position provides administrative, customer service, and operational support to management and field staff. The ideal candidate will be detail-oriented, organized, and comfortable multitasking in a fast-paced service environment.
Key Responsibilities
• Monitor and order office supplies, furniture, and equipment as needed.
• Maintain client and project information in the CRM, ensuring accuracy and timely updates.
• Answer incoming calls and emails, directing inquiries to the appropriate staff.
• Keep the office organized, clean, and functioning efficiently.
• Assist with IT coordination and troubleshooting minor issues.
• Support adherence to company policies and office procedures.
• Contact clients to confirm service dates and communicate project updates.
• Verify that property marking and OUPS requirements are met before work begins.
• Review completed job entries in the CRM for accuracy in spelling, times, and descriptions.
• Prepare and issue invoices through the company’s CRM system.
• Provide administrative support to department heads and the Branch Manager as requested.
• Contribute to a positive team environment and uphold company values in every interaction.
