Job Summary
The Intake File Clerk supports the Refugee Resettlement Program by organizing and managing client intake files. This role involves maintaining sensitive client records, ensuring proper documentation, and assisting with the intake process for new arrivals. The position works closely with case managers and program staff to ensure accurate and complete client documentation.
Duties and Responsibilities
- Create and maintain physical and digital client files, ensuring accurate organization and easy accessibility.
- Organize and process intake forms and documents, verifying all required paperwork is complete and properly filed.
- Scan and upload client documents to the program database to ensure all digital records are up-to-date.
- Retrieve client files for caseworkers and program staff, maintaining an efficient filing system.
- Handle client documents with strict confidentiality, adhering to organizational and legal privacy policies.
- Assist clients with completing intake paperwork and ensure intake packets are comprehensive.
- Collaborate with case managers and intake coordinators to ensure all client information is accurately filed, including case notes.
- Perform general clerical tasks such as photocopying, faxing, and emailing to support program operations.
- Perform other duties as assigned by the supervisor.
Minimum Qualifications
- Education: High school diploma or GED.
- Experience: At least one (1) year in a clerical or administrative role.
- Language Skills: Bilingual in English and Spanish.
